Job Title: Administrator Band 4 £14.89/Hour
Location: East Surrey Hospital, Redhill, RH1 5RH
Hours: 37.5 Monday – Friday, 9-5
We are expecting this placement to last 3 months however it may change due to services need.
What you’ll be responsible for:
- Taking and transcribing a wide range of meeting minutes in an accurate and timely manner.
- Receiving and processing referrals to the relevant clinician and systems
- Providing day to day supervision and monitoring of workload for Band 2 and 3 administrators.
- Updating case notes on patient record system as required.
- Undertaking regular managerial supervision and appraisal of administrators within the team, in conjunction with Band 5, if applicable
- Providing secretarial support to the team, as required, i.e. arranging meeting, ESR approvals, diary management, monitoring cover arrangements, arranging agency workers, logging incidents onto Datix etc
- Monitoring annual leave requests and sickness absence for manager, as required
- Extract data from warehouses i.e. DART etc
- Typing reports incorporating graphics and tables as required
- Booking appointments on patient record system for clinic and individual consultations
- Answering telephone calls and relay messages in a timely manner
- Creating bespoke documents for the team, as leaflets etc
- Arranging team events, as required
- Monitoring data quality of administrative input
You’ll learn the following whilst working at the trust:
1. An in depth understanding of the roles and responsibilities involved in working within the NHS
2. Knowledge of the systems used, to effectively complete your role to the highest standard at all times
3. A sense of teamwork, gained through working alongside and supporting colleagues from all levels, within the organisation
You’ll have the following skills/experience:
- Excellent organisation skills
- Excellent typing and diary management skills
- Previous administrative and supervisory experience
- NHS System knowledge (S1, Cerner ESR, Datix)
- Microsoft package knowledge – Outlook, Word, Excel and PowerPoint
- Experience of collating reports
- Excellent customer service skill
- Excellent telephone skill
This role may require you to show evidence of NVQ Level 4 or at least 4 years relevant experience.
