Group Activities Development Co-ordinator
Role: Group Activities Development Co-ordinator
Service: Day Care Services
Reports to: CEO
Location/s: Walford Hall, Carey St RG1 7JS. But working from home and supervising Clubs in various locations around Reading and Woodley,
Introduction.
This role oversees the development and running of all of our group activities. It is a chance to own an important project and really make a difference to the lives of older people.
Responsibility for :
The work of Group activity staff and volunteers, the management of Group Activities provision and to support the lead for organisational volunteering in the recruitment, training and deployment of volunteers supporting these services.
Services include all of our social activities which include STAR Clubs for older people. MCST Dementia Clubs, and our Pop in Coffee morning. It is our goal to develop more in the future as clubs become established and self-funding.
This key post will be given a high degree of responsibility and accountability to deliver day-to-day services and to develop the organisation to help make Reading a great place to grow old.
Aims of the role:
- To support the CEO to improve and develop our organisation through new ideas and projects to take our services forward.
- To ensure high quality service delivery in all activities to meet the needs of older people in Reading.
- Lead and motivate good teamwork amongst the staff and volunteer team.
- To run and report on our dementia services according to the MCST framework.
General Responsibilities
- Work collaboratively with the Happy Feet Co-ordinator, Homeshare Co-ordinator, I and A for Carers Co-ordinator and Befriending Development Co-ordinator to ensure a joined up operational team.
- Work with other members of staff and volunteers to promote Age UK Reading services and attract new clients
- Work closely with the CEO to improve current services and develop new ones.
- Take part in the recruitment administration and process of all Age UK Reading staff and volunteers, assisting the CEO as required.
- Ensure Health and Safety policy and procedures are adhered to in your existing and developing projects.
- In collaboration with the Befriending Development Co-ordinator, register and act as counter-signatory for the organisation and ensure staff and volunteers complete and submit Disclosure and Barring Forms as appropriate
- Maintain the quality standards of Age UK Reading
- Attend staff meetings and contribute to the promotion of good practice across the organisation
- Run the MCST service according to the plans laid out in the guiding documents.
- Report regularly on all services.
- Support staff and volunteer to deliver a superb service for older people.
- Oversee training for staff and volunteers.
Specific Responsibilities for the role:
- Assess, recruit, induct and supervise staff and volunteers for deployment at in Services.
- Conduct regular 1-1s and annual appraisals
- Manage staffing rota of clubs, arrange leave and emergency cover for all tasks affecting day services, including your own position and facilitate at clubs in instances of staff shortage.
- Assess potential new clients to ensure Age UK Reading’s services are appropriate to their needs and oversee management of client registers.
- Working with other Age UK Reading staff, ensure concerns / complaints /accidents /incidents are documented in an appropriate form and acted upon in a timely fashion.
- Liaise with ReadiBus to ensure transport provided for our clients is appropriate to their needs.
- Review and evaluate the effectiveness of Age UK Reading’s Group Activities on a regular basis.
- Ensure monies collected from Service clients on behalf of Age UK Reading are safely delivered to the office and accounted for.
- With support from other staff, ensure accurate staff, volunteer, and client records are kept.
- Produce timely and accurate service reports.
- With support from other staff research and arrange training for staff and volunteers as appropriate
- Provide regular supervision to Age UK Reading staff and volunteers as necessary
- Line-manage the Admin Officer and all lunch club staff and volunteers ensuring accurate time sheets are kept.
- Complete safeguarding and Incident Reporting , Risk Assessments etc
You will be expected to have a mutually supportive working relationship with the Group Activities Admin Officer, who provides admin support for the project. Although this person undertakes many admin functions the Day Services Development Co-ordinator role is largely self-administrating
Own Training and support
- Research, attend own professional training as required
- Report to the CEO and have regular one to one support and supervision in the role.
- Attend regular organisational meetings.
Commitment
20/ 25 hours per week. The way the hours are divided across the week is negotiable and flexible. However, one of the main duties of this post is to support Group Activities and social clubs which run on 5 different days of the week. Therefore, we would favour more short days rather than few long days.
Note. We expect the scope of this role to be reviewed within the next 12 months.
Salary: circa £28,600 per annum, pro rata for 20/25 hours
