The role
To provide "best in class" front of house service to Bupa, being the first impression to our internal and external customers. Be an ambassador of the Facilities team.
Work closely with the Security team providing a courteous, friendly and efficient professional welcome to all visitors and Bupa employees within the cus.
Demonstrate a flexible, proactive and can-do approach exceeding the expectation of internal and external customers by providing exceptional front of house service.
You'll help us make health happen by
- Meet and greet
- General enquiries by personal or by phone
- Booking of taxis on behalf of Bupa
- In the absence of Security issuing of ID passes to employees, visitors and contractors. Cancellation of ID cards as appropriate
- Operation of Security systems in particular CCTV equipment and Car Parking systems
- Updating the Receptionist diary keeping information recorded in it up to date
- Ensure the reception area is kept clean and tidy at all times
- Work with M&E contractor to ensure any issues reported direct to reception are logged on the helpdesk
- Book meeting rooms for Bupa employees providing advice on catering arrangements and meeting room equipment as required
- Carry out regular meeting room checks to ensure they are being utilised to a satisfactory level and rooms are clean and tidy
- Liaise with appropriate contractor to ensure meeting rooms are set up as requested
- Contact appropriate facilities services in the event of issues raised i.e. vending, photocopier, cleaning, grounds maintenance etc.
- Communicate e-mails to all employees within the building as required
- Assist in the management of deliveries
- Assist in Administration duties as and when required and any additional Facilities related tasks
Key Skills / Qualifications needed for this role
- Likely to be qualified to a minimum of O/GCSE level in English, Maths and/or Business Studies.
- Will be PC literate and competent in Microsoft Word, Excel, PowerPoint and Outlook.
- Will be well spoken, groomed and presented. Excellent interpersonal and diplomacy skills are essential.
- Will possess excellent telephone manner.
- Will have an understanding of facilities management services.
- The ability to deal with sensitive situations discretely and volatile situations effectively ensuring a high level of customer service.
- Good perception and attention to detail will complement the overall requirements to maintain a high level of security in a friendly efficient environment.
- Understanding the importance of maintaining Bupa's corporate image will call for interpersonal and diplomacy skills, when dealing with visitors, customers and employees in a varied spectrum of situations.
