We are seeking a highly organized and motivated individual to join our Gastroenterology administrative team in Yeovil. This role offers an excellent opportunity for those looking to build a career in healthcare administration. This is a 12 month, part time fixed term position.
As admin support, you will be required to provide efficient and effective support to the medical secretaries, including cross-cover for other support administrators and medical secretaries within the business unit to support clinical teams in times of absence, as requested by the Operational Manager to support service requirements.
You will be responsible for typing clinic letters using the digital dictation system (BigHand), sorting of post, filing and other general administrative duties as directed by the Operational Manager
To work within the Trust values and core standards to maintain an excellent patient experience at all times
To type clinic letters and general correspondence as dictated by medical staff using digital dictation (BigHand) and word processing equipment within the business unit service level agreement timescales and standard operating procedures
To provide cross-cover for medical secretaries as and when required. Flexibility is essential to provide adequate service cover during core hours in times of absence.
To answer incoming telephone calls from patients, carers and other healthcare professionals in an efficient manner, taking messages or referring onto other departments and agencies as appropriate
To acquire knowledge of necessary medical terminology
To strictly observe the rules of confidentiality, security and location recording for all patient data
To ensure all medical record documents are filed correctly in the medical notes
To ensure all post is collected, sorted and distributed accordingly in liaison with the medical secretaries
Use the hospital administration system (TrakCare) for all patient related data, including case note tracking
Use of the hospital TrakCare RTT (Referral to Treatment) to update patient pathway and Order Comms system for patient results/X-Rays (where appropriate).
To be able to book follow up appointments where necessary
To liaise with the medical secretaries within the business unit regarding all work and to undertake any other duties that may arise from time to time

Good all round general education to GCSE standard, including English Language and mathematics
Proven competencies in current office practice
