About us, The League of Friends (LoF)

We are a charity who run 4 small shops within the Royal Shrewsbury Hospital. In addition to fundraising and legacies, the profits from the shops go towards donating much need equipment for the Shrewsbury and Telford Hospital NHS Trust (in the last 2 years The League of Friends have donated over £500,000 worth of equipment to the Trust).

Job Summary
We are seeking someone highly motivated with good communication skills to become our Storeroom Admin. The ideal candidate will be responsible for managing the inventory of stock on the computer system and assisting the Store person with storage and distribution of goods between the storerooms and the various shops on site within the Royal Shrewsbury Hospital.

Due to recent IT issues, we will need to undertake a stocktake of all barcoded items on the system to bring it back up to date.

Confidentiality & Data Protection

Post holder must maintain the confidentiality of information about fellow LoF Staff, SaTH Staff and Patients in accordance with the Data Protection Act of 1998. Post holder must not, without prior permission, disclose any information regarding any Staff, Patients or LoF finances. If a member of LoF staff has communicated any such information to an unauthorised person, those staff will be liable to dismissal. Moreover, the Data Protection Act of 1998 also renders an individual liable for prosecution in the event of unauthorised disclosure of information.

While not working directly in the shops, the post holder must help maintain the 5* assessments rating the LoF currently hold. Must comply with LoF/SaTH Hygiene Policies.

Risk Management

Reduce risks by reporting accidents or incidents promptly. Post holder must attend training identified by the Shop’s Manager or League of Friends Executive Board.

Review of this Job Description

This job description is intended as an outline of the general areas of activity and will be amended in the light of the changing needs. It will be reviewed in conjunction with the post holder at an annual appraisal of the post holder.

Expected working hours

· Monday – Friday 20 hours per week (expected to be 10am – 2pm)

Hourly Rate

· £12.45 per hour

Responsibilities

· Maintain accurate records, including...

- Entering orders/invoices/delivery notes on the system.

- Transfer of internal stock between the Storeroom to shops on the system.

- Checking for changes in barcode and price of items delivered.

- Informing the manager of any price changes of items coming in.

- Performing random stocktakes of items to check for errors.

- Assisting the Manager and Store person with regular ordering.

- Liaising with the Manager for regular price reviews.

· Coordinate with suppliers to ensure accurate deliveries.

· Utilise data analysis skills to optimise stock levels and storage space.

· Perform manual lifting tasks if/when necessary.

· Assist the manager with covering the Store Person during holidays/sickness.

Qualifications/Experience

· Experience in warehouse management or a similar role preferred.

· Confident in use of Windows based computers.

· Familiarity with TouchOffice software would be an advantage (however, training will be given).

· Ability to confidently handle manual lifting duties, should the need arise.

Successful application will require a DBS check (as the workplace is within a hospital), this will be paid for by the League of Friends, However, should the DBS check show something that the candidate has failed to declare (and result in withdrawal of their application), the candidate may be asked to reimburse the League of Friends for the cost of the DBS check.
