Administration Clerk - Part time - 30 hours/week

We are looking for an enthusiastic person to join our Neurology Department.
The successful candidate will have a flexible attitude, be methodical, committed team player, able to work under pressure, meet deadlines, and have excellent communication skills.
An eye for detail is essential and the ability to prioritise and organise your workload is also essential.
You will have had recent general clerical and office experience and will have excellent computer skills, good organisation skills, the ability to work effectively and proactively as part of a team and cope well under pressure.
The successful candidate must have the ability to deal with highly confidential information and use their discretion when necessary and be able to manage their workload independently.

To work as a part of admin team to support a defined team of secretaries and clinic co-ordinators.
Provide an efficient general administration day-to-day support to the department.
Duties will include, but are not limited to, communicating with patients via telephone, dealing with incoming and outgoing post, scanning , filing and emailing external companies to arrange services.
The post holder will be required to work as part of the administration team and provide cross cover during periods of staff absence within their existing team and other teams within the Directorate as and when required.
This support should be provided during the core hours of 08:00 to 16:30 unless otherwise specified at local level and should be aligned to the Direct Clinical Care time of the Clinical Team for whom they support.

Provide general administrative services as required by the department.
Locate medical notes within a department or request them from other locations.
Filling/scanning letters and reports in medical notes promptly and cross reference whenever necessary and general office filing.
Photocopying, scanning and posting documentation.
Dealing with the incoming and outgoing post daily, manually and on PCS.
Ordering stationery via EPROC.
Checking blood results on ICE.
Deal with telephone enquiries within agreed limits and take appropriate actions.
Be point of contact for visitors to the department.
Liaise with other hospital departments, GP and other health care agencies when required.
Always adhere to Trust policies and procedures. Undertake training and mentoring of staff as required.
Participate in the collection of complex data for service monitoring and audit activities.
Be compliant with Trust arrangements for continuing professional development.
Other adhoc duties requested by admin team.
