The postholder is an integral part of a strong, supportive Pathology Reception Team, providing daily and ongoing administration for all pathology disciplines and service users. You will be required to deliver a customer focused service and ensure that callers are processed quickly and accurately.
To operate and maintain the automated telephone service for the Coventry and Warwickshire Pathology service: University Hospitals Coventry and Warwickshire; George Eliot Hospital NHS Trust and South Warwickshire Hospitals NHS Trust.
To deliver a customer focused service and ensure that callers are processed quickly and accurately. To assist with the Senior Personal Assistant and Admin Manager with administration tasks.
This position is a 12-month Fixed Term Contract at 22.5 hours per week, Wednesday – Friday.
To be fully familiar with the automated telephone system for the Pathology Department at UHCW (Blood Sciences, Infectious Diseases, & Cellular Pathology).
To be involved in all relevant aspects for upgrading the automated system, so that it can be widened to the whole Network as deemed necessary.
To work with the Pathology Senior Personal Assistant and Admin Manager at UHCW, Laboratory Group Manager and Health & Safety Manager, in monitoring all issues relating to accessibility of Pathology staff by outside users, to ensure that the most customer efficient service is developed
To transfer calls to all relevant Departments and individuals, having a sound knowledge of the whereabouts of listed individuals
To manage and maintain diaries for the Pathology Seminar Room and Quiet Working Space.
To be trained in all relevant aspects of ULTRA. To be responsible for providing Microbiology results to service users upon request and track appropriately on the Pathology Management System.
To be familiar with the Trusts Electronic Patient Record system (EPR) – read only function.

To meet and greet visitors, ensuring that they are registered on entry and exit from the Pathology Department in accordance with the local Health and Safety Policy
To take and relay direct, and telephone messages for all staff in the Department
To provide appropriate receipt of department orders and office stationary
To undertake risk assessment for the reception area, with particular relation to patient confidentiality
To process and maintain claim forms for temporary and locum staff
To undertake personnel filing on behalf of the department.
