What you’ll be responsible for:
· Inform clients directly, and sensitively at times when their appointment has to be cancelled or rearranged, sometimes at short notice.
· Organise interpreter / communication assistants through liaison with the interpreter services and appropriate organisations.
· Undertake any other duties as required within the role of administration and clerical officer e.g. to cross cover different Continence and Stoma reception areas at the discretion of the team lead.
· Greet and receive patients attending for treatment and visitors to the department at the Continence and Stoma reception and direct to the department waiting area. To monitor the waiting area to ensure that department waiting times for treatment are not exceeded, informing clinical staff of delays if appropriate.
· Receive and deal appropriately with telephone calls including routine enquiries and informal complaints from patients, relatives, carers, the public, internal departments and external organisations.
· You will be responsible for the taking and production of any minutes of meetings held within the Department.
· Demonstrate effective communication skills when dealing with patients, relatives, carers, and the multi-disciplinary team (MDT) via the telephone or face to face, and in analysing and resolving problems.
· Recognise the importance of confidentiality, own boundaries and seek advice where appropriate from the line manager/more senior staff.
· Judgement, empathy and sensitivity will be required particularly where there may be communication difficulties e.g. where English is the second language, patients who are visually or hearing impaired and patients who have learning difficulties or physical disabilities.
· Receive and acknowledge complaints or comments in line with departmental and Trust policies and guidelines. Liaise with the appropriate person to instigate investigations.
· To liaise with relevant departments to ensure that any further actions/appointments are requested e.g. referrals to secondary care.

You’ll have the following skills/experience:
· SystmOne patient system trained or commitment to complete training.
· CobWed trained
· Excellent interpersonal skills and telephone manner
· Able to produce data and reports.
· Ability to understand and summarise complex information.
· Computer literate with excellent standard of keyboard skills
· Ability to data input accurately
· Knowledge regarding continence and stoma care.
· Experience in the use of third-party NHS IT systems and prescribing service IT system.
· Understanding of prescribing and Dispensing Appliance contractors.
· Understanding of appliances & medical terminology
